Dates

 

The Retreat will take place on the São Miguel Island in the Azores between 23-31 August 2021. 

 

In the eventuality that the Retreat could not take place on the above mentioned dates due to COVID-19 travel restrictions to the Azores, it will be postponed to  23-30 March 2022.

Number of Participants 

 

The minimum of participants is 12 and the maximum is 35. 

After 35, the person will be placed in a waiting list in case a place becomes available.

Being a small group of participants (35) we encourage you to do this as soon as possible. After receiving your answer, we will send you a confirmation of your participation and an invoice for the required deposit to secure a place.

COVID-19

In the eventuality that the retreat will not take place due to the corona virus and travel restrictions into the Azores, the full deposit will be reimbursed.

 

Payment Policy

 

On July 10th 2021, the total sum must been paid. Up to that date you can pay in one or more installments.

 

Payments must be done in euros, through a bank transfer or credit card. If payment of the balance is not received by us, Essentia Nobilis reserves the right to cancel the reservation and retain the deposit. Payment by credit card incurs a 2.5% service fee. 

 

In the eventuality that the retreat will not take place due to the corona virus and travel restrictions into the Azores, the full paid monies will be reimbursed to the participant.

 

Included

 

The price of the Azores Retreat includes: All transport during the retreat (as participants are coming in with different flights, the transport to and from the airport is not included), all meals (breakfast, lunch and dinner. Lunch and dinner will be served in a local restaurant or in the hotel restaurant. Mineral water and soft drinks included only), chosen accommodation (double, twin or single), all activities, workshops and lectures mentioned in the Retreat program.

 

The participant is responsible to pay during the retreat for all extra services not included in the retreat programme.

 

TIP: The best and most economical way to get to the Azores, is buying 2 air tickets. One return ticket to Lisbon, and one separate ticket to Ponta Delgada (São Miguel Island) 

 

Insurance

 

Every participant must obtain full travel insurance during the whole travel period and the retreat, covering all medical expenses, personal liability during retreat activities and a trip cancellation policy in the unlikely event that the retreat is cancelled or in case of a personal emergency or illness that will prevent you from traveling to the Azores and attending the retreat. Every participant must provide Essentia Nobilis with full insurance details at the time of final payment (10 July 2021).

 

Cancellation Policy 

 

It is the responsibility of the participants to read and understand our cancellation policy before making a reservation.

In the event of cancellation by the participant, regardless of the circumstances excepting covid-19 restrictions, the following refund fees, minus the deposit, apply.

- The deposit is non-refundable but may be transferred to another retreat date if 30 days notice is given.

- Cancellation 15 days or less before due arrival date, 0% refund.

However, if cancellation has to do with COVID-19 travel restrictions for the participant, their place can be transfer to the September retreat or if preferable, it will be a 100% refund to be reviewed individually. 

We do not offer credit for a participant arriving late or leaving early.

 

Essentia Nobilis reserves the right to change the hotel due to unforeseen issues (e.g. COVID-19 restrictions). Essentia Nobilis will ensure the standard be kept the same in all the hotels, all of them are 4 stars.

Essentia Nobilis reserves the right to change or amend this policy if necessary regarding COVID-19

The current policy is always applicable.

 

Liability

 

Essentia Nobilis shall not be liable for any unusual and unforeseeable circumstances beyond our normal control, which the consequences of could not have been avoided even when exercising all due care.

Such circumstances or events include, but are not limited to, war or threat of war, riot, civil unrest, industrial disputes or strikes, accidents or failure to perform by third parties, including suppliers and subcontractors, unavoidable technical problems with the accommodation, transport or closure or congestion of airports, terrorist activity, natural disasters, industrial disasters, fire, theft, flooding, adverse weather conditions or any act of God. In the event of any of the above, refunds and compensation payments cannot be made.

Essentia Nobilis accepts no liability for loss, damage, injury or illnesses which may be happened during the participant’s stay or travelling to and from the Azores.

All participants must take responsibility for their own medical and physical fitness and be able to participate in the programmed activities.

Essentia Nobilis is not liable for any injuries or losses to guests, in the use of the hotel or participating in the activities.

While all care is taken, Essentia Nobilis cannot accept any responsibility for loss or damage of personal possessions or valuables of guests.

 

Data Use and Protection

 

The participant agrees that he/she may be photographed and/or filmed during his/her stay and/or activities, and also agrees that Essentia Nobilis may use such recordings for promotion and/or advertising purposes without any prior consent after the retreat.

In the eventuality that the participant does not want to be photographed and/or filmed during the retreat he/she will have the opportunity to express it in writing the first day of the retreat.

Litigation

 

In the eventuality of any disagreement the laws applicable to the European Union in general and the Netherlands in particular will be used in case of litigation.
